Find the small, repeated tasks eating your week, and what they cost you.
Most businesses don't lose time in big ways. They lose it in small, repeated ones: the same numbers typed into two systems, the call to confirm what a form could have captured, the report rebuilt by hand every Monday. This audit takes about 15 minutes and shows where your time goes.
Nothing you enter is stored or sent. Your answers stay in this browser tab and disappear when you close or refresh it.
How to use it
01
Think about a normal week in your business.
02
Tick each statement that is true today. If you're not sure, leave it unticked.
03
Fill in the time worksheet to see what the manual work costs.
The checklist
Tick what is true today. Anything you leave unticked shows what it costs and how to fix it.
The time worksheet
Rough estimates are fine. Leave a row blank if it does not apply.
They appear here once you start ticking. You will get a score, the section worth starting with, and what each gap costs you, along with ways to take it with you.

What to fix first
One inbox. Every inquiry (form, email, call, message) lands in one place. Costs you: Checking several inboxes every day, and the occasional lead that gets missed. Fix: Route your forms, email and booking link to one inbox or one tool.
Auto-confirmation. People get an automatic confirmation right after they reach out. Costs you: Follow-up messages asking if you got it, or leads going to a competitor. Fix: Turn on an auto-reply that says what happens next and when.
Self-service booking. Customers can book or request a quote themselves, without email back-and-forth. Costs you: Several messages to settle one appointment or quote. Fix: Add a booking link or a structured quote-request form.
FAQ. Your website answers the questions you hear over and over (pricing, hours, service area, process). Costs you: Answering identical questions, and talking to people who were never a fit. Fix: Write an FAQ from your last 10 inquiries and put it on your homepage.
Auto reminders. Appointment or job reminders go out automatically. Costs you: Sending reminders by hand, or dealing with no-shows. Fix: Turn on reminders in your scheduling tool.
Self-reschedule. Customers can reschedule or cancel on their own, within your rules. Costs you: Every change is a message you read, a calendar edit and a reply. Fix: Turn on self-service rescheduling with your cutoff rules.
Quote templates. Quotes and proposals go out from a template and get followed up automatically. Costs you: Writing from scratch, and the follow-up you keep meaning to send. Fix: Save a quote template and set an automated or scheduled follow-up.
Welcome steps. New customers get a welcome message or onboarding steps automatically. Costs you: Sending the same welcome and instructions by hand every time. Fix: Write the message once and trigger it when a customer signs up or books.
Auto invoices. Invoices and receipts are created and sent automatically. Costs you: Building invoices by hand and tracking who has paid. Fix: Set up invoice and receipt templates in your billing tool.
Online payment. Customers can pay online (card or bank), without you chasing. Costs you: Chasing payments and reconciling by hand. Fix: Add an online payment link or checkout to your invoices and booking.
Enter once. Customer details are entered once, not retyped into a second system. Costs you: Retyping the same information between a form, a spreadsheet and your accounting. Fix: Connect your tools, or pick one place where customer data lives.
One-view numbers. Your key numbers (sales, outstanding invoices, jobs) are in one view you don't rebuild by hand. Costs you: Rebuilding the same report every week. Fix: Connect your tools to one dashboard or an automated weekly report.
Self-serve answers. Routine questions from staff or customers are answered by a document, page or tool, not by you. Costs you: Being the answer desk for the same questions. Fix: Turn your top 10 repeat questions into a shared page or an assistant.
Written processes. The steps of your main processes are written down. Costs you: Everything lives in your head, so nothing can be handed off. Fix: Write the steps for your three most repeated processes.
Connected tools. Your tools (calendar, payments, email, accounting) talk to each other instead of you copying data between them. Costs you: You are the connection between your tools. Fix: Look for built-in integrations, or have one connection built to remove the copying.
Runs without you. If you were out for a week, daily operations would keep moving. Costs you: A business that depends on you for every small step. Fix: Write the steps down and automate what never changes.
